Quilting Guild of The Villages January 2012 Executive Board Meeting

The Executive Board of the Quilting Guild of The Villages met January 17, 2012 at Saddlebrook Recreation Center.  The meeting was called to order by President Alice Nicholas at 3:05 p.m.

There was no Executive Board meeting in December therefore a Secretary's Report was not read.

Lucie Verbois gave the Treasurer's Report.  She requested any email communication include the chapter name for clarity.

Micki MacCumbee gave the Program Committee report.  Program calendars through March 2013 were available.  Workshop location changes were noted and new sessions announced.  Updated program information is listed on the website and available from the Chapter Program Reps.

Webmaster Marilyn Paluszak mentioned to incoming Chapter Presidents that each chapter has a Website Committee representative; their input and review is critical to the accuracy and completeness of each Chapter's information.  There have been recent enhancements to the site and the president thanked Marilyn for her efforts in developing such a useful website.  There was discussion on various ways to offer a classified section for quilters and possible use of Facebook.  However, administration of this could be very time consuming.  Dale Angione reminded us a bulletin board was stored at Laurel Manor and could be used by members for classified information as well as posting of available trips.  Alice Nicholas will check if the bulletin board is still there for use at monthly guild meetings.

Joy Lynch reported on Membership.  It is important to follow the process to ensure the membership records reflect all paid members.  Each Chapter membership representative should send the name and address of each member to the Guild Treasurer along with a check for the membership fee.  Each Chapter representative should also send the Membership chair, Joy Lynch, the name, address, phone number and email address of each member and include the year the member joined the Guild.  Be sure to indicate in your email for which chapter you are reporting. Joy will then issue a Guild ID card. Joy reminded the Executive Board that she should be notified of any chapter openings.

Ann Moroz reported for MarketPlace 2012.  Plans have been going well and the MarketPlace is set for this weekend.  Lucie Verbois, MarketPlace Volunteer Coordinator, stressed that an individual's name must be on the volunteer list to obtain free admission for the day they are volunteering.  ID cards must be presented for a discounted entrance fee of $5.00 for those Guild members not working at the MarketPlace. 

Carole Schroeder and Ann Moroz reported for the Showcase of Quilts and gave a demo of a new, safer hanging system for the quilt show. The cost of the system would be $7,783.25.  Joy Lynch moved to use MarketPlace money to purchase this system, seconded by Regina Wolf.  After discussion, Joy Lynch amended her motion to purchase the quilt hanging system for future quilt shows, seconded by Teresa Hatfield and carried.

Ann has donated file cabinets for records retention in the storage unit.  Carole and Ann reported the need for storage shelves and new totes.  Regina Wolf moved we spend up to $300 for these items, seconded by Donna Parisi.  After discussion, the motion was tabled until the February meeting. 

Each Chapter should suggest one or two charities to receive a donation from the sale of tickets for the Charity Quilt Drawing. Submit suggestions to Showcase2013@qgotv.org.  These suggestions will be presented to the membership for a decision.

Each Chapter should submit a paragraph describing the side panel they are sewing for the Showcase of Quilts display.

Showcase of Quilts entry forms and requirements were distributed and are on the website.


Unfinished Business

Due to time limitations and some members not able to print the proposed Standing Rules, this item will be addressed at the February Executive Board meeting.

In November, sister chapters were discussed and President Nicholas suggested each chapter make their own decision whether to participate as a sister chapter.

Discussion of Treasurer and VP/Program Chair duties was deferred until the February Executive Board meeting.


New Business

A room has been reserved at the Captiva Recreation Center for the next Chapter to be established. 

The Historian position is vacant and Alice asked for a volunteer to maintain the scrapbooks.

Discussion was held regarding recognition of Guild past presidents and what type of memento could be given to honor their service.  Teresa Hatfield moved we present past presidents with a nametag pin indicating 'past president' and noting the years the office was held.  This was seconded by Joyce Doig and passed.

Micki MacCumbee announced a donation to the Sumter Friends of the Library will be made in the amount of $100 to thank them for the use of the public room for classes.

Membership in Sunshine State Quilters Association will be discussed at the February Executive Board meeting.

Marilyn Paluszak moved to adjourn the meeting seconded by Regina Wolf and carried.
