Quilting Guild of The Villages April 2011 Executive Board Minutes
The Board of The Quilting Guild of The Villages met April 19, 2011. The meeting was called to order by President Jeanette Flint at 3:00 pm.
The secretary's report was read.
Bev Jahn noted that last month no vote was taken on the program committee's request asking guild teachers to give back 25% of their class fees over $100 to a program class fund for expenses and for a library donation. There was discussion from those in favor and those opposed. A motion was made by Regina Wolfe and seconded by Marilyn Crosby that the committee's request be adopted and the motion passed.
Janet Gardner then moved to accept the secretary's report seconded by Jeannie Meyer and the motion passed.
Beth Bender gave the treasurer's report. There are 615 paid members.
Mary Shara brought forward the following questions/concerns from her chapter members regarding the budget.
1. Why is the fund balance so low? Answer: We lost $3,000 in membership dues last year due to the change in membership fees.
2. Some members objected to the $250 start up fee for new guild chapters. Answer: This has been the practice sine 2004 and has proven to be a good way to give chapters a start.
3. Why not charge an entry fee to enter a quilt for judging? Answer: This suggestion will be passed to the 2013 show chairs and the presidents will ask for feedback from their chapter regarding a fee to have quilts judged.
Treasurer Beth was asked to check with the accountant on the amount of money allowed in chapter treasuries as well as the requirements by the IRS regarding donations to be a 501C-4 non-profit. She will report back.
President Flint suggested the standing rules be changed to reflect any expense in excess of $500 must be approved by the board. Since the by-laws require two signatures on a check exceeding $500, this seems like the appropriate approval level.
A motion was made by Marilyn Crosby and seconded by Tonia Brock to amend the standing rules to reflect that any expense in excess of $500 must be approved by the board. The motion was carried.
President Flint asked all board members to review the standing rules and by-laws for suggested changes. A committee will work on this effort consisting of Beth Bender, Joyce McKee, Alice Nichols and Marilyn Paluszak with Jeanette Flint invited to the committee meetings. Recommended changes will be brought to the board for discussion.
Standing Rules can be changed by the executive board but by-law changes must be submitted to the membership for approval.
The program committee would like the time for guild meetings stricken from the by-laws to allow more flexibility and there are some grammatical corrections that can be done as well. There was discussion about the meeting time survey and Micki MacCumbee again reported the results were not conclusive. Micki asked if anyone was opposed to having the flexibility of meeting times other than 7 pm and no one voiced opposition.
Marilyn Paluszak, guild webmaster, will have guidelines for the guild website. Marilyn has scheduled meetings with the local chapter webmasters this week since the new website at QGOTV.org or Quilting Guild of The Villages.org is live.
President Flint asked the board if anyone would be interested in being the Membership Chairperson for the guild. This individual would be the contact for prospective members and let those individuals know which chapters have openings. No one volunteered so the chapter presidents will ask if any chapter member would be interested in this position.
It was agreed that board meetings should continue through the summer months.
Program Committee Report
Program Chair Micki MacCumbee reported on in-house classes.
Wednesday, April 20th Pat Knoechel is scheduled for a lecture/demo at Bridgeport Rec Center at 1pm.
Lisa-Marie Saunders will speak at our May 3rd guild meeting. She is the author of Quilting with Aliens and her lecture topic is 'Everything I needed to learn in life, I learned from quilting."
Crazy Quilting scheduled for May 18th and 25th has been postponed.
Mary Shara's Machine Applique Class is set for September 16th, 9 am - 2 pm
In addition to the hosting night duties for the guild meetings, the chapters should be prepared to have two members hold quilts during show-and-tell so the quilters can provide a brief description of their quilts. This means the chapter should provide eight to ten workers on their hosting night.
2013 Quilt Showcase
Ann Moroz is awaiting replies from the chapters to provide the names of co-chairs for each chapter's 2013 quilt show assignments.
Tonia Brock mentioned that an AAA travel agent would like to present information on a coach tour of Ireland. The guild has received numerous similar requests and we do not allow that type of presentation, but we will make handouts available to those that might want them.
