Quilting Guild of The Villages November 2011 Executive Board Meeting

The Executive Board of the Quilting Guild of The Villages met November 15, 2011.  The meeting was called to order by President Jeanette Flint at 3:05 pm.

The secretary's report was read.  Donna Parisi moved to accept the report with one change of a member's name, seconded by Regina Wolf and carried.

Beth Bender gave the Treasurer's Report.  There are 694 paid members. Beth reminded the Chapters that she will need a list of all charity work done in 2011 indicating monetary donations, quilts donated, etc. Email your report to Beth by mid-December at bethbender12@comcast.net.

Micki MacCumbee distributed copies of the 2012 program calendar.  Hosting Duties for the Guild Meetings for 2012 were chosen by a random drawing.  The results are:
January - Seabreeze; February - Laurel Manor; March- Chatham; April - Sunset Pointe; May- Friendship Star; June - Mulberry; July - Allamanda; August - Lake Miona; September - Sterling Stitchers; October - Piecemakers; November - Quilting B's; and December - Patchwork Garden.

Micki will submit the application for the Guild to participate in the Villages Christmas Parade.

A question was raised if the panels each Chapter will be sewing for the quilt show will be a permanent part of the show.  The show committee answered yes, they will be used at the 2013 show and beyond.

Marilyn Paluszak introduced Cathy Barlow, the newly elected president of the Allamanda Chapter.  Chapters should email the names of any newly elected officers to Marilyn at Webmaster@qgotv.org and also to our newly elected Guild President Alice Nicholas at alicemae47@comcast.net.

There was discussion regarding the need for an Executive Board meeting in December.  Jackie Whitehead moved we do not meet in December, seconded by Judy Porter and carried.

Ann Moroz reported on the 2012 Marketplace.  There are 50 vendors with 12 on the wait list.  Plans are progressing well.  Carole Schroeder reported a third draft of the categories for the quilt show is on the website.  Please review this and direct any questions or concerns to Carole.

Joy Lynch reported on the success Chatham has had with their sister chapter, Lake Miona.  Joy recommended all Chapters consider having a sister chapter next year as these meetings have provided a great way to share quilting knowledge as well as get to know quilters from other chapters.  The presidents will present this suggestion to their chapters and report back in January when the topic will be discussed further.

President Flint reminded all Chapters to get their facility permits for 2012.

Alice Nicholas, Beth Bender, Joyce McKee, Micki MacCumbee and Marilyn Paluszak have been working on updating the Standing Rules and a draft of the recommended changes was distributed.  Joyce explained most of the changes are for clarity, formatting and expanding some information to better identify responsibilities.  Two changes are recommended.  Executive Board approval would be needed for expenses in excess of $500 not included in an accepted budget and the Quilt Show Committee would be responsible for proposing ideas and presenting them to the Executive Board.  Marilyn will put this draft document on the website and the presidents should bring any concerns or questions to the January meeting where the recommendations can be voted on by the Executive Board.

Beth Bender asked if anyone had a file cabinet they may want to donate to the Guild for records storage.  Ann Moroz may have one.  Storage options were discussed as the rented storage unit is quite full now.  Marilyn Paluszak offered to share records retention information for not-for-profit organizations in response to a query on how long records should be retained.

President Flint thanked everyone for the support given to her and the Executive Board during her term as President and also thanked those for their kind acts in memory of her late husband, Dick.

A motion was made to adjourn the meeting, seconded and carried.
